Accessing associations public records

Members of the public can inspect/obtain copies of documents lodged with NSW Fair Trading on the Public Register under the Associations Incorporation Act 2009 following payment of the set fee.

An Extract* or copy of the Certificate of Incorporation and other Register documents must be obtained from Registry and Accreditation.

*An Extract lists the registration number, current status, current and previous names of the association and public officers and a list of all documents lodged on the Register.

Search request form

Copies of documents lodged can be obtained by completing the Incorporated associations search request form.

Lodge the Search request form with Registry and Accreditation by:

Payment for a copy of a constitution or extract is required when submitting the Search request form.

For all other documents, payment of an inspection fee is required when the Search Request form is submitted. If the requested document(s) are available this fee will be deducted from the total cost of the document(s) to be provided.This fee is not refundable.

Payment can be made:

  • using the online payment portal (details provided on the online form)
  • payment at your nearest Service NSW Centre (a copy of the receipt must be provided to Registry and Accreditation). All cheques and money orders made payable to NSW Fair Trading.

Next steps

Available documents will be provided by email:

  • within 3-5 working days if the association was registered after 2003; or
  • within 5-10 working days if the association was registered before 2003.

You will be advised if the requested documents are unavailable.

There is no obligation to proceed with the search request and the documents sought may be altered during this time.

If paying at your nearest Service NSW Centre, a copy of the receipt must be provided to Registry and Accreditation.

Once payment is receipted, the search results will be forwarded to you by post or email.

Privacy and personal information

Personal details provided on documents lodged by incorporated associations may be provided to the public by way of a search of the Register, for which fees apply.

Section 10 of the Privacy and Personal Information Protection Act 1998 requires that NSW Fair Trading ensures that individuals are aware that their personal information contained on the Register may be made available to the public.

All information collected by Fair Trading is for lawful purposes and in accordance with the appropriate legislation.

The Privacy Act also allows Fair Trading to withdraw personal information from the Register available for public inspection when an individual can demonstrate that their safety or well-being may be affected.
